Operations Assistant

About the role
The Operations Assistant supports the day-to-day execution of client work across investments, reporting, and general family office administration. The role is centred on accuracy, coordination, problem-solving and the steady handling of operational tasks. You will work closely with colleagues and clients across the business to help ensure the smooth running of Allister Team.
Key Responsibilities
- Assist with the processing and tracking of transactions, including subscriptions, redemptions, transfers, and cash movements, in coordination with custodians and administrators.
- Help maintain accurate client and account records, including static data, documentation logs, and contact information.
- Support the production and quality control of client statements and reports, including checking for completeness and consistency.
- Coordinate key operational tasks around quarter-end and year-end activities.
- Track and follow up on outstanding operational items with internal teams and external providers.
- Provide general administrative support related to client onboarding, documentation, and internal workflow.
Qualifications
- Post-secondary education in business, finance, accounting, or a related field; a college diploma or undergraduate degree is suitable.
- 1–3 years of experience in financial services operations, wealth management administration, banking, or a similar environment.
- Strong organizational skills and attention to detail.
- Comfort working with Excel and common office applications; familiarity with portfolio or CRM systems is an asset.
- Clear, professional communication in both written and spoken form.
- Ability to manage recurring deadlines and prioritize tasks in a steady manner.
- Fluency in English; working French is an advantage.
Compensation and Benefits
- Base salary: CAD 55,000–70,000 per year, depending on experience and qualifications.
